AI employees for your business.

Take over tasks, relieve your team.

7 min readUpdated 8 May 2026

An additional office worker costs €2,500-€3,500 per month. A full-time position for reception or support is simply not affordable for many SMBs, even when the work piles up. The result: the team handles everything on the side, requests fall through, revenue is lost.

Before you hire your next employee, it's worth checking whether an AI employee can take over the routine tasks. At Rinqo you choose a concrete role: reception agent for calls and appointment booking, support agent for standard inquiries, acquisition agent for proactive outbound contacts, triage agent for email sorting, HR Q&A agent for internal HR questions. That covers the routine, so your team can focus on what humans do better: complex consulting, sales, relationship building. Unlike classic software you have to learn and configure, the AI employee runs after 10 minutes of setup. Fully EU-sovereign on Hetzner Germany, AI Act compliant, GDPR-compliant.

Rinqo is the platform for AI agents that take over tasks — what many call 'AI employees'. Three properties: first, role depth, four agent types from one platform (phone, chat, email and your personal assistant) you hire and let go like staff. Second, fully EU-sovereign, Hetzner Falkenstein/Nuremberg, EU LLMs (Microsoft Azure OpenAI (Microsoft Ireland, Sweden Central)), no US Cloud Act risk. Third, SMB pricing, from €99 net per month instead of €2,500-€3,500 for an additional office worker.

What an AI employee really is at Rinqo

An AI employee at Rinqo takes over tasks, it doesn't replace positions. Specifically: it takes calls, answers standard questions, books appointments, sorts emails, calls back proactively. What it doesn't do: complex consulting, emotional conversations, sales closing, personnel decisions. Those tasks stay with your team. You choose a concrete role (reception, support, acquisition, triage, HR Q&A), we deliver the platform, in 10 minutes the agent runs. The difference to a classic chatbot: the AI employee executes multi-step tasks, uses tools (calendar, CRM), escalates to humans on need. When an applicant calls, the AI employee answers the standard question about the position and books a slot. When a customer asks in chat, the AI employee recognizes intent and answers from your knowledge base. When your inbox is full, the AI employee sorts and forwards complex cases. Realistic automation rate at DACH SMBs with maintained knowledge base: 60-85 percent of standard inquiries, the rest goes to your team.

The 5 AI employee roles, what Rinqo actually does

Rinqo offers five AI employee roles deployable across industries. First, reception agent, takes calls, answers standard questions, books appointments, escalates emergencies. Voice + chat as channel mix. Typical use cases: medical practices, law firms, trades, property management. Second, support agent, answers customer inquiries 24/7, qualifies leads, forwards complex cases. Chat + email as channel mix. Typical use cases: B2B service providers, SaaS, e-commerce. Third, acquisition agent (outreach), proactive outbound calls for speed-to-lead, review requests, customer reactivation, appointment reminders. Voice outbound + email. Fourth, triage agent, sorts email inboxes, classifies inquiries, answers routine, forwards complex cases. Email + chat. Typical use cases: office managers, secretariats. Fifth, HR Q&A agent, answers internal HR questions (vacation, benefits, onboarding processes) for your employees. Chat + email internal. Typical use cases: growth mid-market with 10+ employees. All five roles work industry-independent. Industry templates (medical practice, tax advisor etc.) are knowledge seeds + integration presets, not separate products.

  • Reception agent (voice + chat), intake + triage + appointment booking
  • Support agent (chat + email), 24/7 customer inquiries
  • Acquisition agent (voice outbound + email), speed-to-lead, review requests
  • Triage agent (email + chat), inbox classification, routine responses
  • HR Q&A agent (chat + email internal), employee questions on HR topics

AI employee vs. classic office worker, the economic calculation

A full-time office worker in DACH mid-market costs €2,500-€3,500 gross per month (salary + social charges + workplace). Plus sick leave (averaging 18-22 days/year per German Federal Statistical Office 2024), vacation (24-30 days), shift premiums for weekend coverage. Effective available hours per full-time position: 1,500-1,700 hours/year, i.e. 36-40 weeks of net availability. A Rinqo AI employee costs €99-€799 net per month (Starter to Business tier), runs 24/7 without sick/vacation leave, scales to hundreds of parallel requests without additional positions. For a typical DACH SMB with 200 calls per month at 90 seconds each: office worker cost center ~€3,000 per month (proportionally per call), Rinqo Starter €99 per month, factor 30+ cheaper. The economic calculation becomes clear at volumes under 1,000 calls per month: hybrid setup (AI for standard, human for escalation) typically achieves 70-85% automation rate.

GDPR and AI Act, what employers need to know

Deploying AI employees is subject to two strict compliance regimes in DACH. First, GDPR: AI employees that process personal data (which is practically always the case for reception/support/acquisition) need a data processing agreement (Art. 28 GDPR) with the AI provider, EU server hosting for data processing and transparent privacy notices (Art. 13 GDPR) at every first contact. Rinqo fulfills this through Hetzner hosting in Falkenstein/Nuremberg, EU LLMs without US parent and automated privacy announcement at the start of conversation. Second, AI Act Art. 50 (effective 02.08.2026): AI systems must clearly inform every end user at first contact that they are speaking with an AI. Fines for violation: up to €15 million or 3 percent of global annual turnover (whichever higher). Rinqo makes the disclosure default in the first response, not deactivatable, wording is editable to your brand voice. Plus: employees deploying AI workers fall under Art. 4 AI Act (AI literacy obligation since 02.02.2025), you document deployment limits and escalation logic. Rinqo provides AI literacy templates in the dashboard you can adapt for this purpose.

AI employees at a glance, which category does what

The AI employee market splits into four categories in 2026. Assistant tools of the big office suites are built for enterprises with an existing suite license: deeply integrated into their own environment, licensing typically in the 4-5-figure range per month, hosting in US clouds by default. US enterprise agents position similarly to Rinqo (AI for roles instead of tools), but host outside the EU — a compliance topic for DACH applicant and customer data. Enterprise platforms from the DACH region are built for large-scale projects and often oversized for 1-50-person SMBs. Developer frameworks need a DevOps team plus own hosting, no plug-and-play. Rinqo is the fully EU-sovereign platform with all 5 roles (reception, support, acquisition, triage, HR Q&A) from one source, self-service setup in 10 minutes, SMB pricing from €99 net per month.

Sven builds Rinqo from a simple observation: most AI tools are designed in San Francisco and sold in Berlin. The workshop in the Black Forest, the veterinary practice in Salzburg, the family hotel in Tyrol get software that doesn't speak their language. Rinqo flips that. On European servers, set up in ten minutes, in twenty languages. With templates built by the industries themselves.
