What does a real position really cost you?

The most common miscalculation among SMBs: 'Gross salary is my personnel cost.' Wrong, typically 30-50 percent comes on top of gross salary. Specifically: at €2,500 gross salary per month, you pay as employer additionally about €500 employer contribution to social insurance (pension, health, care, unemployment), plus about €50-100 occupational accident insurance, plus vacation and Christmas pay (averaging €300-400/month proportionally), plus sick leave (averaging 18-22 days/year per Federal Statistical Office 2024, about 8 percent of annual working time), plus workplace costs (office, IT, software licenses, typically €200-400 per employee per month). Effective full costs of a €2,500 gross position: €3,700-€4,500 per month, that's factor 1.5 on gross salary. How the calculator calculates, the formula

The calculator is deliberately simple because more complex models don't deliver better estimates. Formula: missed calls per week = calls per week × miss rate in percent / 100. Missed calls per month = missed calls per week × 4.3 (weeks per month). Lost revenue per month = missed calls per month × average deal value. Lost revenue per year = monthly loss × 12. What the formula deliberately does NOT include: conversion rate (not every call ends in an order, typically 30-70 percent depending on industry), seasonal fluctuations, customer retention effects (missed call = potentially lost existing customer, lifetime value higher than single order). The formula is therefore conservative, real loss is usually higher than the calculator shows. For more precision: multiply the result with your conversion rate for the lower bound. For the initial 'is AI employee worth it' decision, the simple formula is enough.

When a real position remains the better choice

Honest: not every SMB need is covered by an AI employee. A real position remains the better choice in four constellations. First, high-priced sales conversations with complex consulting, whoever sells a €50,000 product needs human seller skill, not AI standard answers. Second, emotionally sensitive industries, funeral consulting, psychotherapy first conversations, lawyer first consulting in crisis situations are human domain. Third, highly complex complaint processing, when standard workflow fails and individual solutions are needed, an experienced employee is more valuable than any AI agent. Fourth, high-frequency personal relationship building, premium customer care where the employee knows by first name and acts individually.
