Your firm stays reachable.
Even when the lawyer is in court.
While the lawyer is in a client meeting and the secretary sorts files, new clients reach out across every channel. AI firm assistants qualify first calls by legal area (family, employment, tenancy, etc.), initiate mandate-conflict checks, and book first consultations in the firm calendar, GDPR-compliant with attorney-client privilege protection.
Get startedIn short
The rinqo AI firm assistant takes client first calls 24/7, qualifies by legal area (family law, employment, tenancy, criminal, etc.), captures inquiry essentials structured, checks mandate conflict indicators and books first consultations in Google Calendar, Outlook or a CalDAV-connected firm calendar, with AI Act disclosure and GDPR-compliant data handling. From the same stored company knowledge, rinqo answers enquiries from chat, the web form and the inbox and gives the team on the ground what it needs.
The situation
Germany has 166,504 admitted lawyers as of 1 January 2025, plus 5,126 admitted law firm entities, according to the federal bar BRAK. Whoever is calling has plenty of choice. On a first enquiry, what decides it is who picks up. That is exactly when the client meeting or the court date is running. The front desk cannot simply prioritise, because it cannot check for conflicts of interest, and outside office hours the phone stays silent. On top of that comes legal privilege: § 203 of the German criminal code makes cloud-based tools a liability question. Anyone processing client data in US cloud services risks a professional conduct breach. An AI agent therefore has to run on EU architecture and must not process client content outside the sphere of privilege. The same stored knowledge carries every channel you switch on, and answers the questions your team otherwise passes along.

lawyers has at least 70 % regular clients (Soldan Institut, 2016)
Source: Soldan Institut, Köln 2016Where it pinches
- First calls lost when secretary is on phone, clients go to next firm.
- Mandate conflict check needs lawyer involvement, can't run parallel.
- Firm privilege (§203 StGB) makes cloud tools liability-relevant.
- Complex first inquiries need pre-qualification by legal area, otherwise appointment mismatch.
- Outside office hours firm not reachable, clients with acute deadlines lost.

Every first call is answered
The firm phone agent picks up parallel to lawyer appointment. First callers hear a natural voice. 24 hours, seven days. AI Act disclosure: 'This is the digital reception assistant of [Firm name], I am an AI, I take your concern and arrange an appointment with the lawyer.'
The same knowledge, wherever it is asked
Agent draws knowledge from firm website and specialization list. On calls qualifies by legal area: family law, employment, tenancy, criminal, business law. If your firm doesn't cover the legal area, communicated honestly, no false mandates. The same applies to every channel you switch on, and to your team looking it up instead of asking around.
Mandate conflict check and appointment booking
On first inquiries agent captures structured: inquirer name, opposing party name, legal area, inquiry essentials, urgency. Data goes automatically to firm secretary email with note 'check mandate conflict before appointment confirmation'. First consultation tentatively blocked in calendar, confirmation after conflict check by lawyer. On acute deadlines (default summons, dismissal deadline) immediate escalation to on-call lawyer.
What the agent handles
- First call pre-qualification by legal area
- Mandate conflict data capture (inquirer + opposing party + legal area)
- First consultation booking in firm calendar (tentative until conflict check)
- Acute deadline-related inquiries (dismissal deadline, default summons, preliminary injunction)
- Existing client inquiries with file reference forwarded to responsible lawyer
- Fee first information (RVG, hourly rates, flat rates) from knowledge base
- Look internal knowledge up on the spot instead of asking around
- Turn references and vacancies into on-brand posts
Our recommendation
Client first calls are conversion-critical, quick response decides. Phone agent picks up 24/7, pre-qualifies and books first consultations without secretary needing to perform mandate conflict checks. The knowledge behind it then carries the other channels and the questions asked internally.
