- AI answering machine
The AI answering machine that handles the call.
Books appointments, answers questions, escalates emergencies. Instead of collecting messages.
Your answering machine collects messages that nobody listens to in time. Callers who leave a message wait for a call back. Callers who don't ring the next provider. An AI answering machine ends both: it holds the conversation and deals with the request on the spot.
An AI answering machine is a voice assistant that takes incoming calls via call forwarding and responds in a real-time dialogue. The traditional answering machine dates from an era when recording was the only option: greeting, beep, monologue. Every office knows the result: garbled numbers, half-explained requests, endless callback loops. Since language models became able to hold phone conversations in real time, that one-way street has been technically obsolete. An AI answering machine understands the request, books appointments into the calendar, answers questions from the knowledge base and captures callback requests in a structured way, with name, number and reason. For businesses in the DACH region, two obligations come on top: GDPR-compliant processing with a data processing agreement under Art. 28 and the transparency obligation of the EU AI Act (Regulation 2024/1689), whose Art. 50 applies from 2 August 2026. That is why Rinqo runs the AI answering machine entirely on EU infrastructure: Hetzner servers in Falkenstein and Nuremberg, language models within the EU Data Boundary, disclosure announcement enabled by default.
The Rinqo phone agent is an AI answering machine with real task depth. It answers every call and responds in under 800 ms, so the conversation feels like a normal phone call. It books appointments straight into your calendar, answers questions from your company knowledge with source references, captures callback requests in a structured way and escalates emergencies to your team immediately. After every conversation, an email summary lands in your inbox. Your phone number stays the same, a call forward is all it takes, self-service setup in around 10 minutes. From €99 net per month.

Vorher. Nachher.
The traditional answering machine records. Callers speak to a tape or hang up. Afterwards, someone has to listen back, return the call and reconstruct the request from a monologue. Every message creates work, and no request gets resolved.
The Rinqo AI answering machine sees the conversation through: understand the request → answer the question or book an appointment into the calendar → capture the callback request with name, number and reason → escalate emergencies to your team immediately. The summary arrives by email as soon as the caller hangs up.
What is an AI answering machine?
An AI answering machine is a voice assistant that answers incoming calls in a dialogue instead of recording them. The traditional answering machine works in one direction: play a greeting, record a message, wait. The AI answering machine works in both directions: it understands the request, responds in real time and gets it done. In concrete terms, that means booking appointments straight into the calendar, answering questions from your knowledge base, capturing callback requests with name, number and reason in a structured way, and escalating emergencies to your team immediately. Technically, it combines three building blocks: speech recognition, a language model as the reasoning layer and speech synthesis. At Rinqo, telephony runs through EU data centres, and the speech synthesis comes from Germany and is EU-hosted. Response latency stays under 800 ms, which makes the conversation feel like a normal phone call rather than a hold queue with a voice. The distinction matters in both directions: an AI answering machine is not a voicemail-to-text feature that merely transcribes messages, because then someone still has to call back. And it is not a phone system with a menu (“press 1”) that funnels callers through selection levels. It is the third stage: no tape, no menu, a conversation with an outcome. After every call, it sends an email summary with the request, the outcome and the next step to your inbox. Your team reads for a moment instead of listening back to a tape.
Answering machine vs AI answering machine compared
The difference comes down to three pairs: message vs conversation, tape vs dialogue, listening back vs done. First, the message: the traditional answering machine forces callers into a monologue after the beep. Many hang up at exactly that point, and the request vanishes unrecorded. The AI answering machine asks follow-up questions until the request is complete. Second, the tape: a recorded greeting is static; it knows neither your calendar nor opening-hours exceptions nor prices. The dialogue accesses your knowledge base and your calendar live and answers the actual question. Third, the listening back: every recorded message creates follow-up work, listening, noting down the number, calling back, often more than once. With an AI answering machine, the request is already resolved or handed over in a structured way by the time the caller hangs up. An everyday example: a call after closing time, asking for an appointment next week. The traditional sequence: tape, a hang-up or a mumbled message, a call back the next morning, caller unavailable, second attempt in the afternoon. The sequence with an AI answering machine: request recognised, three free slots suggested from the calendar, appointment booked, summary emailed to your team. Same evening, zero callback loops. The traditional answering machine documents missed calls. The AI answering machine turns missed calls into completed cases.
- Message vs conversation: a monologue after the beep vs a dialogue with follow-up questions
- Tape vs dialogue: a static greeting vs live access to calendar and knowledge base
- Listening back vs done: callback loops vs an appointment booked by the time the caller hangs up
What an AI answering machine takes on day to day
An AI answering machine takes on exactly the calls your team cannot answer: after hours, at peak times, during holidays and on emergency duty. After hours is its strongest card. Appointment requests often come in the evening, when customers have finished their own working day. The agent books that same appointment late at night, where the office would otherwise have to arrange it by callback the next morning. At peak times, forwarding when busy kicks in: if the main line rings out or is engaged, the AI answering machine takes over instead of leaving callers stuck with an engaged tone. During holidays, it replaces the usual recorded greeting (“we're back next week”) with real answers: it responds to questions from the knowledge base, captures requests in a structured way and books appointments for the period after your return. On emergency duty, escalation is what counts: the agent recognises urgent requests and escalates them to your team immediately, instead of burying them on tape between routine messages. Routine cases it handles itself; with a well-maintained knowledge base, the automation rate sits at 60-80%. The rest reaches the right people in a structured form. After every conversation, whether late at night or on a Saturday morning, the email summary is in your inbox: who called, what they wanted, what the agent handled.
- After hours: book appointments while the office is closed
- Peak times: forwarding when busy instead of an engaged tone
- Holidays: real answers and appointment booking instead of an out-of-office tape
- Emergency duty: recognise urgent requests and escalate immediately
Setup: call forwarding is all it takes
You don't need a new phone system or a new number for an AI answering machine; call forwarding is all it takes. Your existing landline or mobile number stays exactly as it is. Setup at Rinqo is self-service and takes around 10 minutes, in four steps. First: create an account and walk through the setup wizard. Second: fill the knowledge base; the agent reads your website automatically, and you upload PDFs (price lists, FAQs, service overviews) on top. Later, it answers with source references. Third: make a test call and fine-tune the wording of the greeting. Fourth: set up call forwarding on your line. Here you decide on the behaviour: always forward (the agent answers everything), only when busy (it absorbs peak times) or delayed after several rings (your team takes priority, the agent is the fallback). All three variants work with landline and mobile. You don't need to configure the language; the agent detects it automatically and speaks 20+ languages. For appointment booking, Rinqo connects your calendar: Google, Outlook or Cal.com. CRM and accounting connections are possible too, such as HubSpot, sevdesk or lexoffice. We handle that setup for you, usually within a few days. The AI answering machine itself is live before that; the connections extend it afterwards.
What does an AI answering machine cost?
An AI answering machine from Rinqo starts at €99 net per month. That is the Starter plan with 500 credits, which phone calls are billed against. Above that sit Pro at €349 (2,000 credits), Business at €799 (6,000 credits) and Enterprise from €1,499 for larger setups. If you need more volume, you top up prepaid credit from €20, without changing plans. All plans are self-service: no sales call, no minimum term, setup in around 10 minutes. The price includes all core functions of the phone agent: appointment booking into the calendar, emergency escalation, an email summary after every conversation, a knowledge base via website import and PDF upload, and 20+ languages with automatic detection. Also included: the compliance foundation, a DPA under Art. 28 GDPR, hosting on Hetzner servers in Germany, AI Act disclosure by default. To place the market, without naming names: US pure-plays often bill per minute of conversation in dollars, which makes monthly costs hard to plan and leaves the EU compliance question open. Enterprise suites price by project with implementation effort, which pays off at corporate scale, not for an office with one line. Rinqo sits in between: predictable monthly prices, an EU stack, self-service. The most relevant benchmark remains internal: what does a lost job cost you because only the tape was running after hours.
Legal: disclosure and transparency
An AI answering machine must identify itself as AI at the start of the conversation; from 2 August 2026, that is required by Art. 50 of the EU AI Act (Regulation 2024/1689). Anyone interacting with an AI system must be clearly informed at first contact. For a phone agent, that means a disclosure announcement at the start of the call, not in the small print. The fines are substantial: up to €15 million or 3% of global annual turnover. On top of that, Art. 4 (AI literacy) has applied since 2 February 2025: anyone deploying AI must be able to document its use and its limits. Rinqo solves both by default. The disclosure announcement is active out of the box, the wording is editable, and switching it off is deliberately not possible. Then there is the GDPR side: phone calls contain personal data, so you need a data processing agreement under Art. 28 GDPR, which Rinqo provides as standard. Processing runs on Hetzner servers in Falkenstein and Nuremberg (ISO 27001:2022). The language models run on Microsoft Azure OpenAI via Microsoft Ireland in Sweden Central, within the EU Data Boundary, with no training on your customer data. OVHcloud is available as an opt-in failover. Telephony runs through EU data centres, and the speech synthesis comes from Germany and is EU-hosted. In short: the transparency obligation is no reason to go without an AI answering machine; it is a reason to choose one that meets it from day one.

Founder & CEO, Rinqo
Sven builds Rinqo from a simple observation: most AI tools are designed in San Francisco and sold in Berlin. The workshop in the Black Forest, the veterinary practice in Salzburg, the family hotel in Tyrol get software that doesn't speak their language. Rinqo flips that. On European servers, set up in ten minutes, in twenty languages. With templates built by the industries themselves.
