What is a voicebot? Definition and how it works in 2026
A voicebot is voice AI that handles incoming or outgoing phone calls fully automatically. Technically a modern voicebot consists of four layers: first, telephony bridge (SIP trunking, at Rinqo via EU data centers with EU routing), second, speech-to-text (speech transcribed in real time, at Rinqo in an EU setup with zero data retention, latency under 200ms), third, Large Language Model as reasoning engine (Microsoft Azure OpenAI (Microsoft Ireland, Sweden Central) at Rinqo, both EU companies), fourth, text-to-speech (response converted to audio, German speech synthesis provider with EU hosting). Total latency from last user word to first response frame: under 800 milliseconds, faster than a human still taking notes. Voicebot GDPR-compliant, what do I need to know?
Three requirements are mandatory for GDPR-compliant voicebot use in DACH: first, server location EU (for audio recording, transcripts, LLM inference). Rinqo uses Hetzner Falkenstein and Nuremberg. Second, data processing agreement (DPA) between voicebot provider and your organization. Rinqo provides the DPA automatically before contract conclusion. Third, deletion concept per Art. 17 GDPR, audio recordings and transcripts must be deleted after defined deadline. Rinqo deletes recordings and transcripts after a retention period configurable per organisation — 30 days minimum, up to 365 days depending on plan. Many US voicebot providers only meet these requirements formally, LLM processing runs on US servers, which is legally vulnerable via Cloud Act exposure and DPF volatility.
