Patients with acute toothache need a slot today, not in two weeks. Your AI phone assistant recognizes pain emergencies, checks emergency slots in the calendar, books prophylaxis, check-up and root canal appointments with correct treatment duration and answers questions about private services and copayments.

Why Dental practices need an AI agent.
An average German dental practice receives 180 to 280 calls per week per KZBV statistics and serves 800 to 1,200 GKV cases per quarter. Call peak is Monday morning and after long weekends, weekend pain patients meet routine prophylaxis and recall requests. The dental assistant tries simultaneously to disinfect the chair, pull up the X-ray and answer the phone, someone gets lost. Compared to general practices, the share of private services (PZR, IGeL, implants, orthodontics) is higher and the consulting demand on the phone correspondingly greater. Pain emergencies are not arbitrarily plannable, the practice needs a flexible slot system with real emergency slots that works even without practice staff.
Acute pain patients need a slot today, otherwise they call the next dentist
Treatment durations vary widely (PZR vs root canal) and are often misplanned via phone booking
IGeL and private service consulting takes the team disproportionate time
Implant and orthodontic inquiries need pre-qualification before the first appointment

Acute pain patients need an appointment today. Whoever ends up on hold calls the next dentist, and we never see them again.
How the Phone Agent for Dental practices.
Your AI phone assistant takes every call within seconds. With pain keywords (acute pain, broken back tooth, swollen cheek, popped crown) it checks emergency slots in the calendar and offers a same-day appointment. Regular requests are booked by treatment type, PZR slot 60 min with prophylaxis assistant, check-up 20 min, root canal 90 min, implant consultation 30 min. IGeL inquiries are prepared with copayment notice and information sheet so the patient comes informed. Recall reminders for PZR and check-ups go out automatically. For private patients the agent knows your private service catalog.
180-280calls per week in an average dental practice
~50%of calls concern appointment booking or rescheduling
60-90 mintreatment time for PZR and root canal
Why Rinqo for dental practices, GDPR, emergency triage, AI Act.
Dental practices process particularly sensitive health data and are regular targets of data protection audits. Anyone selecting an AI phone system here must play through three points beforehand, data residency, emergency escalation and transparency obligation.
GDPR Art. 9 + 32
Patient data stays in Germany, physically and contractually.
Rinqo processes all calls exclusively in EU data centers: Hetzner Falkenstein and Nuremberg. Speech-to-text via a speech recognition service in an EU setup or optionally self-hosted Whisper on own Hetzner server. No data flow to the US, no CLOUD Act exposure. The data processing agreement (DPA) per Art. 28 GDPR is digitally signable by default and part of every tariff.

Emergency triage
Pain emergency recognized in under 3 seconds.
The agent is trained on dental-specific pain keywords (acute pain, swollen cheek, popped crown, bite problems after fall) and recognizes tone. On suspicion it escalates to practice management or immediately offers an emergency slot. Triage is conservatively calibrated, false-negative rate low, false-positive rate acceptable.

AI Act Art. 50 (effective 02.08.2026)
Disclosure automatic, before mandatory.
From 2 August 2026 Article 50 of the EU AI Regulation requires every practice deploying an AI-supported phone assistant to ensure the caller can recognize they are speaking with an AI. Rinqo handles this automatically: every call begins with an audible notice line, wording is editable per customer voice.

Honest answers to real concerns.
The four questions every practice owner asks us before they start.
Does the agent really recognize a pain emergency?
The agent listens for keywords like acute pain, swelling, popped filling, bite problems and tone of voice. On suspicion it immediately checks emergency slots or escalates to practice management. Triage is conservative, in doubt it offers a slot or forwards.
Does this work with our practice management system (DAMPSOFT, Charly, Z1)?
The agent books via Cal.com or Google Calendar. Direct integrations to DAMPSOFT, Charly and Z1 are in preparation. Until then sync runs via calendar bridge, set up in 15 minutes.
What if a patient wants private service consultation?
The agent knows your private service catalog (PZR, implants, veneers, bleaching) including copayment notice. For detailed consultation it books a 30-min consultation slot instead of guessing.
Frequently asked questions about the Phone Agent for your industry Dental practices.
Yes. The agent recognizes pain keywords and tone, checks the emergency slot list in the calendar and immediately offers an appointment or forwards to practice management.
The agent knows your treatment types with standard durations (PZR 60 min, check-up 20 min, root canal 90 min, implant consultation 30 min). On booking the correct slot length is automatically blocked.
Yes. For IGeL and private service inquiries the agent transparently communicates the personal contribution, initiates information sheet dispatch and only books with patient confirmation.
Via your patient list or direct bookings it can send recall reminders (PZR every 6 months, check-up semi-annually). If the patient responds with appointment request, the agent books directly.
Starter plan from €99 net/month (500 credits). Mid-size practices with 220 calls per week typically run on Pro plan (€349, 2,000 credits). An additional practice number costs €5/month plus €9 one-time setup.
Sven builds Rinqo from a simple observation: most AI tools are designed in San Francisco and sold in Berlin. The workshop in the Black Forest, the veterinary practice in Salzburg, the family hotel in Tyrol get software that doesn't speak their language. Rinqo flips that. On European servers, set up in ten minutes, in twenty languages. With templates built by the industries themselves.
